Position Title: Principal Clerk Typist, Human Resources Department

Position Overview:

The Principal Clerk Typist plays a vital role in supporting the Human Resources operations by supervising and performing specialized clerical and administrative tasks. This position requires strong organizational skills, attention to detail, and the ability to oversee staff while ensuring accuracy and efficiency in office and District operations. Work is performed under the supervision of an administrative employee of higher rank, with opportunities to contribute to process improvements and support key personnel functions.

 

Typical Work Responsibilities:

  • Supervise, assign, and review the work of clerical staff, providing guidance and ensuring accuracy.
  • Maintain specialized records and prepare departmental reports.
  • Track time and attendance and manage confidential personnel files.
  • Support personnel requests.
  • Prepare and review statistical reports and related documents.
  • Develop and implement new office and District procedures to improve efficiency.
  • Utilize enhanced computer systems and office equipment for clerical tasks.
  • Coordinate substitute teacher posting, tracking, onboarding, and offboarding.
  • Manage employee attendance and leave processes, including:
    • FMLA, maternity, disability (medical/non-medical), exceptional leaves, and unpaid leaves.
    • Reinstatements, workers’ compensation management, and vacation leave requests

 

Full Performance Knowledge, Skills, Abilities and Personal Characteristics:

  • Thorough knowledge of office terminology, procedures and equipment.
  • Thorough knowledge of business arithmetic and English.
  • Good knowledge of functions and organization of agency to which assigned.
  • Good knowledge of the principles of supervision.
  • Ability to plan, assign, supervise and review the work of subordinate personnel.
  • Ability to maintain records and prepare reports.
  • A high degree of accuracy and dependability.

  • Physically capable of performing the essential functions of the position with or without reasonable accommodation.

 

Minimum Qualifications:

  • Graduation from high school or possession of a high school equivalency diploma, including or supplemented by a course in typing.
  • Three (3) years of office clerical experience.

Note: Verifiable part-time and/or volunteer experience will be prorated toward meeting full-time experience requirements.

This is a supervisory clerical position requiring the ability to balance multiple responsibilities while maintaining accuracy and efficiency. Candidates must be physically capable of performing the essential functions of the job with or without reasonable accommodation.

PERFORMANCE RESPONSIBILITIES:

1.         Provides adult supervision of students who are actively involved in computer- related instruction;

2.         Assists students in loading software properly and in the use of the software;

3.         Assists staff members as the needs arise in the use of microcomputers;

4.         Previews software acquisitions to become familiar with their contents, applications, and commands;

5.         Assists in the setting up and networking of microcomputers and printers;

6.         Troubleshoots hardware and software problems and when necessary, make arrangements to send equipment out for repair;

7.         Maintains inventory of equipment and software and records items loaned out of the computer laboratory or classrooms;

8.         Processes orders for the acquisitions of software and maintains appropriate budgetary records;

9.         Assists students and staff in the development of computer-related instructional materials;

10.      Performs other related work as assigned by the direct supervisor(s).
